Overview We are seeking a highly organized Medical Information Assistant/Specialist with demonstrated medical knowledge to support the organization, verification, and standardization of medical information. This is an internal, desk-focused role designed to translate high-level direction into accurate, structured outputs that support core systems and workflows. The ideal candidate brings medical understanding, and is precise, methodical, and comfortable working within evolving processes. Responsibilities
Transcribe, digitize, and structure information from digital and paper-based sources (scanning, photographing, OCR)
Apply standardized file naming conventions and maintain organized digital storage
Assist with internet-based research and information gathering
Verify information using authoritative sources; flag discrepancies or uncertainties
Review, validate, and enter and data in spreadsheets and CRM systems
Assist in standardizing terminology, including identifying synonymous or equivalent terms
Qualifications
Strong organizational skills and attention to detail
Familiarity with medical specialties and clinical terminology
Proficiency with Excel and/or Google Sheets
Experience working in CRM or structured data environments
Ability to work independently with sustained focus in a desk-based role
Preferred
Experience digitizing printed materials or working with OCR tools
Exposure to automation, scripting, or workflow optimization
Background in healthcare operations, medical research, or data operations
